Remittance transfer email status messages

Remittance transfer messages are sent to the email address specified in the RemittancePaymentEmailInternalRecipient configuration. The following table lists and describes the emailed status messages.

Transfer Status Message Details
Remittance transfer on the scheduled processing date is successful.

Internal recipient receives a "payment processed confirmation" email with the text specified in the configuration setting, RemittancePaymentProcessedEmail.

First remittance transfer attempt fails

Internal recipient receives an "unsuccessful initial processing attempt" email:

The initial attempt to transfer remittance %Remittance ID% to the basys system was unsuccessful. This can happen when a contract, employer or member record is locked or if the basys system is unresponsive. Employer Portal will re-attempt the transfer once an hour until it succeeds. You will receive a Payment Processed notification when it succeeds. If the remittance isn't successfully processed after 24 hours, you will be notified of the failure.

The transfer is re-attempted once an hour for 24 hours. The following rows in this table explain what happens if the repeated attempts fail or succeed after 24 hours.

Successful subsequent transfer attempt on the process date (or before EFT cutoff time for EFT payments)

Internal recipient receives a "payment processed confirmation" email with the text specified in the configuration setting, RemittancePaymentProcessedEmail.

Successful subsequent transfer attempt after the process date (or after EFT cutoff time for EFT payments)

Internal recipient receives a "processed late" email. The recipient should review the remittance data and make adjustments, as necessary, to dates or damagesClosed Additional charges that employers are responsible for based on an agreement (e.g. late fees or legal fees)..

Employer %Employer Name% scheduled remittance %Remittance ID% to process on %Payment Process Date%. It was not successfully transferred to NextGen until %Date% at %Time%. Please review the remittance data and make adjustments, if necessary, to dates or damages.

Note: The EFT deposit date is calculated as the actual transfer date + float days instead of the usual payment process date + float days. This is because the late posting causes the GAP-EFT-DETAIL file records to be written late, which will then go out on a later ACH file and have a later actual deposit date. Check transactions will still have a null (blank) deposit date, same as on-time postings.
Transfer fails after 24 hours

Internal recipient receives a "failed to process" email:

After 24 hours, Employer Portal has not been able to transfer employer %Employer Name%'s remittance %Remittance ID% to the basys system. Please contact basys Support for assistance and mention message id %Message ID%.

Take note of the message ID from the email and report it to your basys representative. basys will work with you to address the issue.

The remittance is rolled back.

Transfer Status Internal Code Message Details
Scheduled 201 Displays the text specified for the RemittancePaymentScheduledEmail.
Processed 200 Displays the text specified for the RemittancePaymentProcessedEmail.
Posted 202 Remittance %Remittance ID% for %Employer Name% has been successfully posted with a process date of %PaymentProcessDate% in the amount of %TotalAmountPaid%.
Suspended - Check Payment 203

Remittance %Remittance ID% for %Employer Name% has been placed into suspended status until the check is processed by the fund office.

Suspended - Threshold Exceeded 203

Remittance %Remittance ID% for %Employer Name% has been placed into suspended status due to the following reason:

Employee number has exceeded the predetermined threshold.

Suspended - Member Lock 203

Remittance %Remittance ID% for %Employer Name% has been placed into suspended status due to the following reason:

Remittance is unbalanced.

Failed 500 Remittance %Remittance ID% for %Employer Name% has failed to post. Please contact your basys representative with the Remittance ID to resolve.
